data collection

Optimum Technology has extensive experience with assisting state prescription monitoring programs with the collection of required prescription and other data. We have assisted several states with their prescription data collection requirements, using both our PMP Direct Prescription Data Upload Module® and our PMP Data Collection Services, featuring our PMP Data Collection Portal®.

The PMP Direct Prescription Data Upload Module® facilitates the collection of prescription data from multiple sources (pharmacies and others) and provides the state PMP administrator with monitoring and reporting facilities to ensure conformance with the state’s prescription data submission standards. This module extends PMP Manager® data upload facilities by enabling mechanisms for collecting prescription data directly from PMP WebCenter®. The module provides facilities to process uploaded files, perform validation and other error checking, notification to pharmacies of errors. PMP Direct Prescription Data Upload Module® provides upload tracking and monitoring features, including the ability to identify and notify pharmacies which have and have not submitted required data.

The PMP Data Collection Portal® provides web-based access for dispensers to report Schedule II, III, IV, and/or V controlled substance prescription data. The PMP Data Collection Portal® supports both the ASAP 95 and ASAP 2005 formats. Data can be collected via Internet connection, telephone modem connection, diskette, CD-ROM, tape, secure FTP, or Virtual Private Network (VPN). Each dispenser upload event is recorded and reports may be generated from this data. Paper reports in the format of the Universal Claim Form can be accepted based on approval by the client. Reports listing delinquent dispensers for a given period are also available and allow for immediate communication to be generated for the delinquent dispenser via email or fax.

Dispensers will receive notifications of the uploaded file status including links to the records in error. These errors can be corrected online by the dispenser. The errors can be corrected online via a reject maintenance application or if the errors are above a State-established, predetermined threshold, the entire file will be rejected for correction and resubmission.

The data cleansing process will ensure that name, standardized addresses based on the U.S. Postal Service format, NDC and DEA numbers are valid. The DEA and NDC numbers will be automatically converted within PMP based on the data submitted. Data cleansing occurs at the time the file is uploaded into the Data Collection Portal.
The data collected via the PMP Data Collection Portal® can be uploaded to the client as frequently as daily.
